Terms & Conditions
These Terms explain how Seraphine Writes works — how orders are placed, how payment is arranged, how delivery and refunds are handled, and how your information is treated. They are written in plain language so that they are easy to read, not to hide anything.
Section 01
Introduction
Welcome to Seraphine Writes. These Terms & Conditions ("Terms") govern your access to and use of this website, seraphinewrites.com, and any purchase, download, inquiry, or service you engage with through it.
By using this website — including browsing the catalogue, placing an order, downloading a digital publication, submitting an inquiry, or raising a support ticket — you confirm that you have read, understood, and agreed to these Terms. If you do not agree with any part of these Terms, please do not use the website.
This website is operated by Seraphine Azikamah Apana, an independent writer and publisher based in Ghana. All references to "we", "us", "our", and "the business" refer to Seraphine Writes.
Section 02
Ordering Policy
All orders for physical books, digital editions, essays, and other publications are placed directly through this website. No account or sign-up is required. You provide your contact details, and where a physical item is being shipped, a billing and shipping address.
Placing an order
- You must provide accurate and complete information at the time of ordering, including a valid email address and phone or WhatsApp number.
- An order is only considered received once you have seen the on-screen confirmation and, where applicable, received a confirmation email from us.
- We reserve the right to decline or cancel any order where the information provided is incomplete, inaccurate, or where we reasonably suspect fraud.
- For bulk, institutional, or reseller orders, please contact us before placing the order so we can prepare a tailored quote and confirm availability.
Order confirmation
After you place an order, we may contact you by email or WhatsApp to confirm the details, arrange payment where applicable, and provide a delivery timeline. Your order is not dispatched until we have confirmed it with you.
Section 03
Payment Terms
Prices are shown in Ghana Cedis (GH₵) on each publication page. The price you see is the price you pay for the item; any shipping fee is shown separately on the order summary before you confirm.
How payment is arranged
- For paid publications, payment is completed using Paystack, which supports card payments and mobile money. Paystack is a widely used, PCI-compliant payment processor across Africa.
- For special arrangements — including bulk orders, signed editions, and buyers who prefer a direct transfer — payment is arranged manually by agreement. We will confirm the preferred method with you by email or WhatsApp before you send anything.
- We do not store your card details on this website. Only the payment reference issued by the processor is saved with your order for our records.
- Free publications do not require any payment. The download link is delivered to the email you provide.
We never ask for payment through unofficial channels. If you receive a request that appears to come from us but does not match the methods described above, please contact us directly before acting on it.
Taxes and duties
Prices do not include any import duties, customs charges, or local taxes that may apply at the destination of a physical shipment. Those charges, if any, are the responsibility of the buyer.
Section 04
Delivery
Physical orders are dispatched within 2 to 3 business days of confirmation. Delivery within Ghana typically takes 1 to 3 days. International shipping to supported countries takes 5 to 14 days depending on the destination and local postal service.
What is delivered
- Physical books are wrapped carefully before dispatch. Signed and limited editions are hand-wrapped with a protective sleeve.
- Digital editions are delivered by email to the address you provide. The confirmation email contains a secure link to download the file in its published format.
- Pickup can be arranged within Ghana by prior agreement. If pickup is not offered on the order form, message us on WhatsApp to arrange it.
Delays and delivery issues
Delivery timelines are estimates and may vary due to courier delays, postal service issues, or events outside our control. If a shipment is delayed beyond the expected window or appears lost, please raise a support ticket with your order ID so we can track it properly with the courier.
Section 05
Refunds & Returns
We want you to be satisfied with what you receive. If something is not right, please contact us as soon as possible and we will work with you to resolve it.
Physical books
- Physical books can be returned within 7 days of delivery if they are in their original condition and packaging.
- If a book arrives damaged, please raise a support ticket with your order ID and a photo of the item. We will replace it at no additional cost.
- Once a returned item is received in its original condition, a refund is issued to the same payment method used for the purchase.
- Return shipping is the responsibility of the buyer unless the item arrived damaged or was incorrect.
Digital editions
Digital editions are generally not refundable once the download link has been sent, because the file cannot be returned. If a technical problem prevents you from accessing your download, we will fix it or provide a replacement file at no cost.
Refunds are processed within 7 business days of a return being received. Where a refund is not possible under these Terms, we will always explain why and offer an alternative where one is reasonable.
Section 06
Intellectual Property
All content published on this website — including the text of every book, essay, article, and reflection; all cover art, illustrations, and typography; the design of the website; and the Seraphine Writes name and logo — is the intellectual property of Seraphine Azikamah Apana or of the respective rights holders, and is protected under Ghanaian and international copyright law.
What you may do
- Read, download, and store digital editions you have purchased or obtained through this website, for your personal, non-commercial use.
- Quote short excerpts of the writing with clear attribution to the author and, where relevant, a link back to this website.
- Share links to any page on this website freely on social media, in messages, or through email.
What you may not do
- Reproduce, republish, distribute, sell, or license any publication, in whole or in substantial part, without prior written permission.
- Share a purchased digital edition with anyone who has not purchased it themselves.
- Use any content from this website to train, fine-tune, or otherwise develop machine learning or generative AI models.
- Remove, obscure, or alter any copyright notice, author attribution, or branding from any publication.
Where you would like to request permission for a use that is not covered above — including educational, journalistic, or charitable use — please contact us. We are usually happy to say yes, and we would rather work with you than against you.
Section 07
Privacy & Data
When you place an order, submit an inquiry, or raise a support ticket, we collect the information you provide: your name, email, phone or WhatsApp number, and any address or message you submit. This information is stored securely in our order, inquiry, and support systems.
How we use it
- To confirm and fulfil your order, including shipping and delivery where relevant.
- To contact you by email or WhatsApp about your order, inquiry, or ticket.
- To send an occasional update about new publications or essays, if you have chosen to receive them.
- To comply with legal or accounting obligations.
How we protect it
We use industry-standard tools to protect your information, including Firebase Authentication for admin access, Firestore for storage, and Paystack for payments. We do not sell your data. We share it only with the courier or payment processor necessary to complete your order, and only for that purpose.
Your rights
You may request a copy of the information we hold about you, ask us to correct it, or ask us to delete it. To make any of these requests, email us at seraphineapana9@gmail.com. We will respond within a reasonable time and, where we cannot act on your request, we will explain why.
Section 08
Limitation of Liability
We work carefully to make sure the content on this website is accurate and every order is fulfilled properly. However, this website and its content are provided on an "as is" basis. We do not warrant that the website will always be available, error-free, or free of harmful components.
To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential losses arising from your use of the website or from any order placed through it. Where we are found liable, our total liability is limited to the amount you paid for the specific order in question.
Section 09
Changes to These Terms
We may update these Terms from time to time to reflect changes in how we operate, or for legal or regulatory reasons. When we do, we will update the "last updated" date at the top of this page. The current version always governs your use of the website.
If a change is material — for example, if it affects how we handle refunds or privacy — we will make the change prominent on the page and, where possible, notify readers who are subscribed to our updates.
Section 10
Governing Law
These Terms are governed by the laws of the Republic of Ghana. Any dispute arising from or relating to these Terms or your use of the website will be resolved in the courts of Ghana, unless the parties agree in writing to another forum.
Where a dispute does arise, we would ask that you contact us first so we can try to resolve the matter directly before either side takes formal action.
Section 11
Contact
If you have any question about these Terms, or about anything else on this website, you are always welcome to reach out. We read every message ourselves.
Acceptance of these Terms
By continuing to use this website — placing an order, downloading a publication, submitting an inquiry, or raising a support ticket — you confirm that you have read and agreed to these Terms. If you do not agree, please discontinue use of the website.
